From Handwritten Confirmations to a Seamless Booking Journey
Not long ago, bookings at Kasnäs were managed entirely by hand. Confirmation emails were written manually, and the reception team fielded a steady stream of calls from guests wanting to check availability or make a reservation.
“A single call could take up to 27 minutes,” says Henrika Enestam, Manager at Kasnäs. “We needed a system that would allow us to free up time and focus on in-person service.”
VISIT’s Internet Booking Engine addressed that directly. Guests can now book online at any time, without needing to call during office hours. VISIT’s All-in-One PMS brought similar relief to the back-of-house operation. Confirmation emails that once had to be written by hand are now generated automatically. “Previously, we wrote confirmation emails manually. Now, the PMS generates professional confirmations instantly, reducing errors and saving us valuable time,” Henrika explains. Transferring orders from the restaurant point of sale to the hotel system has also become considerably more straightforward.
Gift Cards, Packages and a Growing Range of Experiences
One of the more tangible changes since implementing the VISIT Platform has been the growth in gift card sales. Selling them used to involve a significant amount of manual administration. Moving the process online has made it easier for customers to purchase experiences as gifts, and easier for the team to manage and promote them at the right moments.
“It’s amazing how much this has grown,” says Henrika. “We’re able to highlight it at specific times of year, such as around Father’s Day and at Christmas.”
Kasnäs has a broad and loyal guest base. Families come for spa weekends and shared meals. Groups book sauna experiences. Companies and associations choose the resort for conferences and team retreats, particularly in May, June, August and September, when businesses are heading into or returning from the summer break. Having a booking setup that can handle that variety, and present it clearly to guests online, has made a practical difference to how the team operates.
