“Most of our guests come to us to make things happen and to develop their business,” Jesper explains. “Our job is to create the perfect conditions for a successful meeting. That means thorough planning before arrival, and once guests are here, an attentive, engaged presence that keeps us one step ahead, allowing our clients to focus entirely on the purpose of their meeting.”

That kind of proactive hospitality depends on having the right information at the right time. As the business grew, the tools needed to grow with it.

 

From Analogue to Digital

In early 2023, Hackholmssund doubled its capacity for both rooms and meeting spaces. It was a significant step forward, and it made the move to a proper digital workflow a practical necessity.

“VISIT’s All-in-One PMS (powered by VisBook) felt like the obvious choice when we transitioned from a highly analog way of working, both internally and towards our guests,” says Jesper. “It allows us to efficiently manage bookings, sales, meeting coordination, restaurant services, and housekeeping, while also integrating smoothly with our financial system.”

Mobile access has been a particularly useful part of the setup. With every team member able to access the system from their phone, staying connected across a busy day has become considerably easier. “Since all employees have access to the system on their mobile devices, daily operations have become much simpler, creating a sense of involvement that I see as very positive,” Jesper notes.

The reporting functionality available in the PMS has given Jesper and the team a clearer view of how the business is performing day to day. Sales, bookings and key operational data are all accessible quickly and in one place, making it easier to stay on top of what is happening without having to chase information across different sources.

Calmer Days in the Restaurant and Conference Rooms

The shift has been felt most clearly in the dining and conference departments, where scheduling and coordination had previously required more manual effort.

“The PMS has taken our scheduling and planning to a whole new level, especially in the dining and conference departments,” says Jesper. “The system has brought a sense of calm to our team, making daily operations much smoother.”

Housekeeping has also benefited. “Planning for the housekeeping team has become much simpler and more efficient, which ultimately improves the guest experience,” Jesper explains. The goal, as he puts it, is “to create such a seamless stay that guests are already looking forward to their next visit when they check out.”

 

What Comes Next

Hackholmssund is continuing to develop its offering. The venue has recently opened its doors to private events and weddings for the first time, while maintaining its focus on exclusive, closed-group experiences.

“As always, we will remain exclusive to closed groups, ensuring a private and intimate atmosphere with an exceptional level of service,” says Jesper. “At the same time, our ambition remains to be Sweden’s most sought-after meeting venue for ambitious companies looking for more than just a standard meeting.”
