Privacy Policy

These terms govern registration fees and partner agreements for Visit Summit, organised by Visit Group International AB. These terms do not apply to hotel bookings or other ancillary services booked separately — for these, please refer to the respective supplier’s own policies and terms.

Please note – Hotel Accommodation: Accommodation in connection with Visit Summit is booked separately and is not covered by these terms. For cancellations and amendments to hotel bookings, please refer to the cancellation policy of your booked hotel.

1. Terms for Attendees

1.1 Registration and Payment

  • Registration is personal and binding once the cancellation deadline has passed.
  • Payment of the registration fee is due by the date stated on the invoice. Late payments are subject to reminder fees and statutory interest.
  • The registration fee includes access to the full conference programme, including the Pre-Summit, workshops, meals, and social events as outlined in the programme.

1.2 Cancellation and Refunds

  • Full refund: Written cancellation received no later than 60 days before the first day of the event entitles the registrant to a full refund of the registration fee.
  • Late cancellation: Cancellations received less than 60 days before the first day of the event are non-refundable, and the full registration fee will be charged.
  • No-show: Attendees who fail to attend without prior cancellation will be charged the full registration fee.

1.3 Transfer of Registration

  • If you are unable to attend, your registration may be transferred free of charge to a colleague within the same organisation.
  • Please notify us of the new attendee’s name and contact details in writing to [email protected] no later than 7 days before the event.

2. Terms for Partners and Sponsors

2.1 Agreement and Payment

  • A signed partner agreement is binding.
  • Invoicing takes place upon signing of the agreement, and payment is due in accordance with the stated payment terms.
  • All partner packages are exclusive of VAT.

2.2 Cancellation

  • Partner agreements are non-cancellable once signed.
  • The full agreed partnership fee will be invoiced and no refund will be issued in the event of cancellation by the partner.

2.3 Content Guidelines (Workshops and Exhibition Space)

  • Partners hosting a workshop must adhere to Visit Summit’s content guidelines. Sessions must be educational and inspiring in nature — not a sales pitch or product launch.
  • Visit Summit reserves the right to review and approve all presentation materials in advance.
  • Partners are responsible for creating and populating their own exhibitor profile in the event app.

3. General Terms and Conditions

3.1 Scope

These terms apply exclusively to registration fees and partner agreements associated with Visit Summit. Costs and agreements arising outside of this scope — such as hotel bookings, travel, or other ancillary services — are not covered by these terms and are governed by the respective supplier’s own terms and conditions.

3.2 Force Majeure

  • If the event cannot be held due to circumstances beyond Visit Group’s control (such as a pandemic, natural disaster, war, government order, or similar event), neither party shall be held liable for non-performance.
  • In the event of a force majeure situation, the parties will negotiate in good faith to reschedule the event or adjust the scope of delivery. Visit Group is under no obligation to refund fees already paid, but may do so at its reasonable discretion, taking into account costs already incurred.

3.3 Cancellation or Changes to the Event

  • Visit Group reserves the right to make changes to the programme, including speakers and schedules.
  • If the event is cancelled by Visit Group for reasons other than force majeure, all paid registration fees and partner fees will be refunded in full. Visit Group accepts no liability for any additional costs incurred by attendees or partners, such as travel or accommodation expenses.

3.4 Personal Data and Photography

  • By registering, you consent to Visit Group processing your personal data for the purpose of administering the event. Attendee lists may be shared with other participants and partners via the event app.
  • Photography and video recording will take place during the event. This material may be used for marketing purposes by Visit Summit and Visit Group. Please notify the organiser if you do not wish to be photographed or filmed.

3.5 Liability

  • Visit Group’s total liability towards a partner is limited to the amount paid by that partner under the agreement.
  • Visit Group is not liable for any indirect losses or damages.

3.6 Governing Law and Disputes

  • These terms are governed by Swedish law. Any dispute arising in connection with these terms shall be settled by a general court of law in Gothenburg, Sweden.

These terms are a proposal and may need to be reviewed by legal counsel before publication.
